Terms of Service

1.1 Description

CampusWise provides an AI-powered communication platform for educational institutions. The Service includes Admissions Buddy, a multilanguage assistant that answers prospective student questions via web chat and WhatsApp using the institution's own verified content, along with associated analytics and management tools (the "Insights Panel").

1.2 Service availability

We aim to keep the Service available at all times but do not guarantee uninterrupted access. We may temporarily suspend access for maintenance, updates, or reasons beyond our control. We will make reasonable efforts to provide advance notice of planned downtime.

1.3 Service modifications

We may update, modify, or discontinue features of the Service from time to time. We will provide reasonable notice of material changes that may affect your use of the Service.

2.1 Account registration

To use the Service, you must create an account and provide accurate, complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.

2.2 Authorized users

You may authorize members of your institution to access the Service under your account. You are responsible for ensuring that all authorized users comply with these Terms.

2.3 Account security

You must notify us immediately at arturo@campuswise.ai if you become aware of any unauthorized access to your account.

3.1 Subscription plans

The Service is offered under subscription plans as described on our Pricing page. Plan features, message limits, and pricing are subject to change with 30 days' notice.

3.2 Billing

Subscription fees are billed monthly or annually, as selected at the time of purchase. All fees are stated in euros (EUR) unless otherwise agreed.

3.3 Message overages

If your usage exceeds the messages included in your plan, additional messages will be billed at the overage rate specified in your plan. Overages are invoiced at the end of each billing period.

3.4 Payment

Payment is due upon invoice. If payment is not received within 15 days of the due date, we reserve the right to suspend access to the Service until payment is received.

3.5 Refunds

Subscription fees are non-refundable, except where required by applicable law. If you cancel your subscription, you will retain access until the end of your current billing period.

4.1 Ownership

You retain all rights to the content you upload to the Service ("Your Content"), including documents, FAQs, programme pages, and other institutional materials. CampusWise does not claim ownership of Your Content.

4.2 License to CampusWise

By uploading Your Content, you grant CampusWise a limited, non-exclusive license to use, process, and display Your Content solely for the purpose of providing the Service to you. This includes generating responses to student inquiries based on Your Content and displaying analytics related to those interactions.

4.3 Content responsibility

You are responsible for ensuring that Your Content is accurate, up to date, and does not infringe on any third-party rights. CampusWise is not responsible for the accuracy or completeness of responses generated from Your Content.

4.4 Content deletion

Upon termination of your subscription, you may request deletion of Your Content. CampusWise will delete Your Content within 90 days of such request, except where retention is required by law.

5.1 Student conversations

Conversations between prospective students and Admissions Buddy are processed and stored on behalf of your institution. Your institution is the data controller for this data. CampusWise acts as a data processor in accordance with our Privacy Policy and any applicable Data Processing Agreement.

5.2 Use of conversation data

CampusWise uses conversation data to provide the Service, including generating responses, producing analytics and insights, and improving response quality for your specific instance. CampusWise does not use your conversation data to train general AI models or share it with other clients.

5.3 Aggregated data

CampusWise may use anonymized, aggregated data derived from the Service (such as general usage patterns and interaction volumes) to improve the Service and for internal research. This data cannot be used to identify individual students, institutions, or conversations.

7.1 CampusWise IP

The Service, including its software, design, features, documentation, and branding, is the property of CampusWise and is protected by applicable intellectual property laws. These Terms do not grant you any rights to CampusWise's intellectual property except the limited right to use the Service as described herein.

7.2 Feedback

If you provide suggestions, ideas, or feedback about the Service, we may use them without restriction or obligation to you.

9.1 Service provided "as is"

The Service is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, CampusWise disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.

9.2 Limitation

To the maximum extent permitted by applicable law, CampusWise shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunities arising out of or related to your use of the Service.

Our total liability for any claim arising from or related to these Terms or the Service shall not exceed the total amount you paid to CampusWise in the 12 months preceding the claim.

9.3 AI-generated responses

CampusWise does not guarantee the accuracy of AI-generated responses. While the Service is designed to respond only from your verified content, you acknowledge that AI systems may occasionally produce errors. You are responsible for reviewing and maintaining Your Content to ensure response accuracy.

11.1 Term

These Terms are effective from the date you first access the Service and continue until terminated.

11.2 Termination by you

You may cancel your subscription at any time. Access will continue until the end of your current billing period.

11.3 Termination by CampusWise

We may suspend or terminate your access to the Service if you breach these Terms, fail to pay fees when due, or if we discontinue the Service. We will provide reasonable notice where possible.

11.4 Effect of termination

Upon termination, your right to use the Service ceases. You may request export of Your Content and conversation data within 30 days of termination. After 90 days, CampusWise will delete Your Content unless retention is required by law.

13.1 Entire agreement

These Terms, together with the Privacy Policy and any applicable Data Processing Agreement, constitute the entire agreement between you and CampusWise regarding the Service.

13.2 Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

13.3 Waiver

Failure to enforce any provision of these Terms does not constitute a waiver of that provision.

13.4 Assignment

You may not assign your rights under these Terms without our prior written consent. CampusWise may assign its rights and obligations under these Terms without restriction.
