1.2 Information collected through the Admissions Buddy platform

When prospective students interact with Admissions Buddy on your institution's website or WhatsApp:

  • Conversation data: Questions asked, responses provided, and conversation metadata (timestamps, language used, session duration).
  • Contact information: Name, email address, phone number, or other details voluntarily provided by the student during the conversation.
  • Usage data: Interaction patterns, escalation events, and engagement metrics displayed in the Insights Panel.

1.3 Information collected automatically

When you visit our website, we automatically collect:

  • Device and browser information: IP address, browser type, operating system, and device identifiers.
  • Usage data: Pages visited, time spent, referral source, and navigation patterns.
  • Cookies and similar technologies: See Section 6 below.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the CampusWise platform and Admissions Buddy services.
  • Build and maintain knowledge bases for institutional clients.
  • Generate aggregated insights and analytics displayed in the Insights Panel.
  • Process transactions and send related information, including confirmations and invoices.
  • Respond to your requests, comments, and questions.
  • Send technical notices, updates, security alerts, and administrative messages.
  • Monitor and analyze trends, usage, and activities in connection with our services.

We do not use your content or conversation data to train AI models. Your institutional content and student conversations remain exclusively yours.

3. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

  • With your institution: If you are a prospective student interacting with Admissions Buddy, the conversation data and any contact information you provide is shared with the institution that operates that Admissions Buddy instance. The institution is the data controller for this data.
  • With service providers: We work with third-party companies that help us provide our services (hosting, payment processing, analytics). These providers are contractually obligated to protect your information and may only use it to perform services on our behalf.
  • For legal reasons: We may disclose information if required by law, regulation, legal process, or governmental request.
  • Business transfers: If CampusWise is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

4. Data Processing and Storage

4.1 Data controller and processor roles

  • When an institution uses CampusWise to communicate with prospective students, the institution is the data controller and CampusWise acts as a data processor on behalf of the institution.
  • For information collected directly through our website (demo requests, account signups), CampusWise acts as the data controller.

4.2 Data storage and security

  • Data is stored on secure servers with encryption in transit (TLS) and at rest.
  • We implement appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction.
  • Access to personal data is restricted to authorized personnel who need it to perform their duties.

4.3 Data retention

  • Conversation data: Retained for the duration of the client's subscription and for up to 90 days after termination, unless the client requests earlier deletion.
  • Account data: Retained for as long as your account is active and for a reasonable period thereafter to comply with legal obligations.
  • Website analytics data: Retained in anonymized or aggregated form.

5. Your Rights

Depending on your location, you may have the following rights regarding your personal data:
